Required Education and Experience:

High school diploma or equivalent combination of education and experience.
Four years of related experience. Knowledge of word processing, spreadsheet, and database applications. Strong verbal and written communication skills. Strong interpersonal and organizational skills. Ability to work with sensitive information and maintain confidentiality. Ability to multitask and work cooperatively with others. Ability to perform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and HSC guidelines. Provide a safe environment that fosters respect, inclusion, and equality of all faculty, staff, students, and visitors.

Preferred Education and Experience:

Bachelor’s degree. Dental office experience.
Certified Administrative Professional (CAP).
Axium or other dental software experience. Knowledge of dental terminology. Ability to speak and understand Spanish. Proficient computer knowledge and usage of office equipment. Must be a team player and have a willingness to assist others as needed. Ability to plan and organize effectively. Ability to deal with a diverse population to include graduate residents, patients, people with medical and special needs, faculty, coworkers, and outside contacts.

Job Detail:

Assist AEGD Program Director administratively in overseeing the AEGD residents (such as schedule and coordinate resident applications and interviews, follow-up on the interview process, track and file resident’s leave, presentations, and other necessary documentation for their folders, schedule lunch and learn programs and special events to include arranging for catering, reservation of needed rooms, etc.)
Process all departmental invoices in a timely manner for payment. Verify and research AEGD invoices for accuracy. Communicate with vendor on any inaccurate invoices and track to ensure corrected invoices are received and then process for payment. Procure supplies and equipment. Provide administrative support and assistance to AEGD Program Director. Monitor and audit Axium (clinical software program) for proper documentation, charges and payments. Assist AEGD Program Director with monitoring the budget. Reconcile end of month reports and monthly vendor statements. Assist Clinic Coordinator when needed in maintaining efficient patient service and data entry into Axium. Other duties as assigned.

Monday – Friday
8:00 a.m. – 5:00 p.m.
